RACE PROCEDURES
Pre Race Procedures

These procedures are to be followed prior to every race.
1. Teams must register in their entirety at the Registration Centre. All paddlers must sign the race registration form then show theor completed form and wristband to registartion officials.
2. Teams will be given a “Canoe Check” form. They will be accompanied by a Vaka Eiva volunteer to their allocated canoe. Once the safety check has been completed the signed form must be returned to the Registration Centre. Canoes are numbered for easy referance.
3. On returning the form you will be given a checked tag for your canoe. You should return to the canoe immediately and attach the tag around the kiato of the canoe.
4. A race briefing will be held 30minutes prior to the scheduled start time. The steerer and at least 2 other members of the team must attend the briefing.
5. Following the breifing, the team may proceed with the canoe to the slipway. There will be a final safety check, the ‘checked tag’ will be removed by VE volunteer. Team must then enter canoe on water, and proceed to race start zone.
6. Warning Notifications:
30 min First call – All crews to be next to their canoes.
20 min Second call – Canoes to depart for race start line.
5 min Last Warning – Race will start in 5 minutes.
Post Race Procedures
These procedures are to be followed at the end of every race.
1. No canoe is to be run up onto or left on the beach at the finish line. Exit in the order of finishing.
2. Teams should stay wth their canoe until it can be brought up the slipway and plaed back in the canoe parking zone.
3. One member is to retrive the “Canon Check” sheet from the Safety Team at the top of the slipway and return to canoe.
4. The canoe is to then be rechecked with Vaka Eiva volunteer. A crew member and VE volunteer must sign the form to indicate the canoe is available for the next race. Any damage must be noted at this time and reported to Registration Centre when returning the completed Safeety Check form.
Skrits for V6 Vakas
Spare Paddles for V1/OC1 and V6 canoes
A spare paddle MUST be strapped to every V1, OC1 and V6 for every race otherwise the canoe will not be allowed to enter the race.
Bailers and Leashes
All V1’s must carry one bailer and V6’s must carry two bailers.
All OC1’s must have a leash.
Uniform Requirements
Please note that any crews/paddlers that do not follow these conditions will be disqualified from the event. Official Vaka Eiva Race Shirt must be worn for the following races, and applies to all divisions:
• OC1/V1 Iron Races
• V6 Round Raro Relay Race
• For V6 Iron and sprints, paddlers may wear EITHER official Vaka Eiva Race shirt or their own club shirts
• If a crew or individual paddler wears uniform which has a logo of a conflicting sponsor to that of the Official Vaka Eiva Sponsors, they will be disqualified from event
Indemnity
All paddlers and active supporters are to required to sign an indemnity form at team registration. Please note that all teams must also register for each indiviual race and that by registering to race, the team aknowledge their responsibility for the welfare of the canoe that they use.
Damage
A committee has been formed that will assess the damage to any canoe and facilitate a decision over repair or replacement. Teams responsible for damage to a canoe will be part of these discussions but undertake and accept the final decision of the committee and meet all cost incurred in the repair/replacement of the canoe. The crew will not be able to enter any subsiquent races until arrangements have been finalised and agreed. If a paddler has damaged an OC1/V1, their crew will not be able to participate in V6 races unless arrangements have been finalised for repair or replacement of the OC1/V1.
Protests
Open Ocean Events: Any protests must be made in writing to the Race Director within 20 minutes of the last canoe crossing the finsih line in that race.
Juniors Marathon: Any protests must be made in writing to the Race Director within 20 minutes of the last canoe crossing the finsih line in that race.
Sprints: Any protests must be made in writing to the Race Director within 10 minutes of the finish.
